A vague enquiry gets a vague quote. The faster a supplier understands exactly what you need, the faster and more accurately, they can respond. This can directly improve your enquiry quality, and how quickly your sourcing actually moves forward.
What to Include in Your Enquiry
Before you reach out, have these ready:
• Product — coco peat, coco chips, coir fibre, or a specific blend
• Grade — fine, coarse, or a defined particle-size specification
• EC — your target electrical conductivity range, or whether you need washed/buffered material
• Application — the crop and growing system the material is going into
• Quantity — trial volume or full container load
• Packaging — compressed blocks, briquettes, grow bags, bulk bags, or custom formats
• Private label — whether you need custom branding or packaging
• Destination — the country the shipment is going to
• Port — your receiving port, for freight and routing
• Target market — who the end product is ultimately sold or supplied to
• Timeline — when you need the material to arrive
Why This Matters More Than It Seems
Each of these details’ changes something concrete on the supplier's side — production planning, EC/washing requirements, packaging line setup, freight routing, and delivery scheduling.
Leave them out, and you're likely to get a generic quote that needs several rounds of back-and-forth before it reflects what you actually need. Include them upfront, and a supplier can respond with a specification and timeline that's usable from the first reply.
Wrapping Up
Better information in, better quote out. If you're preparing to source coco peat, coco chips or coir fibre, having these eleven points ready before you reach out will save you time on both sides.
